Responsibilities:
- Oversee daily administrative operations, including managing office supplies, facilities, and equipment to ensure functionality and efficiency.
- Coordinate office activities and operations, ensuring adherence to company policies and procedures.
- Manage office budgets and expenses, monitor expenditures, and assist in financial reporting.
- Handle correspondence, emails, and phone calls, redirecting them as necessary and ensuring timely responses.
- Assist in organizing meetings, preparing agendas, and taking minutes during meetings when required.
- Maintain accurate records, databases, and filing systems, ensuring confidentiality and compliance with data protection regulations.
- Support HR functions, such as onboarding new employees, maintaining personnel records, and assisting in HR-related tasks.
- Liaise with external partners, vendors, and service providers, negotiating contracts, and overseeing service agreements.
- Assist in special projects, events, and initiatives as directed by management.
Requirements:
- Proven experience as an Administrative Officer, Administrative Assistant, or in a similar role, showcasing strong administrative and organizational skills.
- Proficiency in MS Office Suite (Word, Excel, Outlook) and office management software.
- Excellent communication skills, both written and verbal, with strong attention to detail.
- Strong multitasking abilities, time management skills, and the ability to prioritize tasks efficiently.
- Solid understanding of office procedures and policies, along with a proactive problem-solving approach.
- Bachelor’s degree in Business Administration, Management, or relevant field is advantageous.
Tasks
- Review, evaluate and implement new administrative procedures
- Establish work priorities and ensure procedures are followed and deadlines are met
- Carry out administrative activities of establishment
- Administer policies and procedures related to the release of records in processing requests under government access to information and privacy legislation
- Co-ordinate and plan for office services such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance and security services
- Assist in the preparation of operating budget and maintain inventory and budgetary controls
- Assemble data and prepare periodic and special reports, manuals and correspondence
