We are seeking a competent and proactive Office Administrator to join our team. The ideal candidate will oversee daily administrative tasks, support office operations, and ensure the smooth functioning of our workplace.

Responsibilities:

  • Manage and maintain office procedures, including managing schedules, filing systems, and office supplies to ensure smooth operations.
  • Act as the point of contact for internal and external stakeholders, handling inquiries, correspondence, and directing queries to the appropriate department.
  • Coordinate meetings, conferences, and appointments, including scheduling, logistics, and preparing meeting materials.
  • Oversee administrative staff, providing guidance, assigning tasks, and ensuring their adherence to office policies and procedures.
  • Assist in financial tasks, such as processing invoices, managing budgets, and maintaining financial records.
  • Handle HR-related tasks, including new hire onboarding, maintaining employee records, and assisting in HR processes as needed.
  • Organize office events or activities, ensuring coordination and execution to enhance workplace morale and team building.
  • Ensure compliance with company policies, procedures, and maintain confidentiality of sensitive information.

Requirements:

  • Proven experience as an office administrator, administrative assistant, or in a similar role.
  • Proficiency in office software (MS Office Suite, Google Workspace, etc.) and familiarity with office equipment.
  • Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal abilities.
  • Knowledge of basic HR and accounting principles is advantageous.
  • High school diploma or equivalent; additional certification in office administration or related field is a plus.

Tasks

  • Review, evaluate and implement new administrative procedures
  • Delegate work to office support staff
  • Establish work priorities and ensure procedures are followed and deadlines are met
  • Carry out administrative activities of establishment
  • Co-ordinate and plan for office services such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance and security services
  • Assist in the preparation of operating budget and maintain inventory and budgetary controls
  • Assemble data and prepare periodic and special reports, manuals and correspondence
  • Oversee and co-ordinate office administrative procedures
  • Train staff
